2A. Sources of Information
We collect information directly from you when you submit a form, begin enrollment, contact support, create or use an account, or upload content. We may also receive transaction and payment-status information from Stripe, technical information from hosting and security providers, and information from service providers acting on our behalf.
3. How We Use Information
We use your data to:
- Analyze images and detect objects
- Extract receipt information
- Build and maintain a structured inventory of personal property
- Compare estimated item values with insurance coverage
- Generate summaries and recommendations
- Improve our AI models and App functionality
- Provide and maintain the service
- Process Founding enrollment, verify consent, prevent duplicate purchases, and administer membership
- Respond to support requests and protect against fraud, abuse, and security incidents

4. Insurance Information & Future Partnerships
If you choose to provide insurance-related information, such as coverage limits or policy details, we use this data only to generate comparisons and insights within the App.
In the future, we may explore partnerships with insurance providers or related service companies.
If such partnerships occur:
- We will only share your data with your explicit consent where required by law.
- We may share aggregated or anonymized data that does not personally identify you.
- We will update this Privacy Policy and notify users of any material changes.
We will never share your personal data in ways that are inconsistent with this Privacy Policy or applicable laws.
5. AI Processing
Your uploaded content may be processed using:
- Machine learning models
- Automated systems
AI-generated results may not always be accurate and should be independently verified.
6. Data Storage & Security
We take reasonable administrative, technical, and physical safeguards to protect your data.
However:
- No system is 100% secure.
- You use the App and upload data at your own risk.
6A. Security Incidents
If we become aware of a security incident affecting personal information, we will investigate, take reasonable steps to contain and remediate the incident, and provide notices to affected individuals or authorities when required by applicable law. You should promptly contact us if you believe your account, communications, or information may have been accessed without authorization.
7. Data Sharing
We do not sell your personal data.
We may share limited information only in the following circumstances:
- With service providers, such as cloud hosting and AI processing, who assist in operating the App.
- If required by law, regulation, or legal process.
- With your explicit consent.
7A. Founding Member Program & Payment Processing
If you choose to become a VaultlyAI Founding Member, we collect the information necessary to process your purchase, administer your membership, and communicate important updates regarding the development and launch of the platform.
Payments are securely processed by our third-party payment processor. VaultlyAI does not store your complete payment card information.
Information associated with your Founding Membership, such as your name, email address, payment status, transaction reference, and membership status, is used to manage the Founding Member program, fulfill your membership benefits, provide support, and communicate updates about VaultlyAI. When you voluntarily provide information about your collection, priorities, desired features, or expectations for the app, we may also use that feedback to understand member priorities and inform product development.
7B. Founding Enrollment Details & Voluntary Feedback
When you begin Founding Member enrollment, we may also collect your selected membership term, telephone number if provided, acceptance of the applicable terms, and any optional information you submit about your collection, priorities, desired features, or expectations for the final app.
Enrollment information is transmitted to our payment processor to create and administer the checkout session and may be retained with that session as transaction metadata, including where checkout is not completed. Voluntary collection and feature feedback may be reviewed by VaultlyAI to better understand member priorities and inform product development. Providing this optional feedback does not guarantee that any particular feature, workflow, or request will be included in a final product.
Our current payment processor is Stripe. Stripe processes information under its own privacy terms and security practices. VaultlyAI does not receive or store your complete payment card number through the Founding enrollment form.
City is required for Founding enrollment, and collection, priority, and feature feedback remains optional. These two fields are submitted to VaultlyAI through the enrollment form but are not included in Stripe checkout-session or customer metadata. Once VaultlyAI connects an enrollment database, any storage and use of these fields will remain subject to this Privacy Policy and the safeguards described here.
7C. Website Technologies and External Services
The current VaultlyAI website does not use advertising cookies or sell or share personal information for cross-context behavioral advertising. Our pages use Google Fonts, and a visitor’s browser may connect to Google to retrieve font files. Founding checkout is hosted by Stripe, which may collect transaction, device, cookie, and usage information under its own privacy terms. Our hosting provider may also create standard server logs for security and operational purposes.
Because there is not yet a universally accepted technical standard for browser “Do Not Track” signals, the current website does not respond differently to those signals. We will update this disclosure if our tracking practices materially change.
8. Your Rights
Depending on your location, you may have rights to:
- Access your data
- Request correction of your data
- Request deletion of your data
- Request a portable copy of certain data
- Object to or restrict certain processing
- Withdraw consent where processing is based on consent

We may need to verify your identity before completing a request. We will not discriminate against you for exercising a privacy right protected by applicable law. If applicable law gives you a right to appeal our response, you may submit an appeal through the same contact address with the subject line “Privacy Appeal.”
9. Data Retention
We retain your data only as long as necessary to:
- Provide and maintain the App
- Improve functionality and performance
You may request deletion of your account and associated personal data at any time through our Support page or by contacting us at info@vaultlyai.com. Once your request has been verified, we will process it in accordance with applicable laws and our data retention practices.
Founding enrollment, consent, payment, and membership records may be retained for as long as reasonably necessary to administer the program, match future account access, provide support, prevent duplicate purchases, maintain financial and transaction records, resolve disputes, and comply with legal, tax, accounting, or regulatory obligations.
Support communications and related technical records are retained for as long as reasonably necessary to respond, maintain business records, prevent abuse, and protect our rights and systems. Retention periods vary according to the nature and sensitivity of the information, the purpose for which it was collected, applicable legal requirements, and whether the information is needed to establish, exercise, or defend legal claims.
9A. Deleted Content and Data Retention for Service Improvement
When you delete an item from your inventory within the App:
- The item will be removed from your visible inventory and no longer accessible to you.
- The item will no longer be used in your coverage calculations, alerts, or user-facing features.
However, in order to improve the performance, accuracy, and functionality of our services, we may retain certain data associated with deleted items in an anonymized and non-identifiable form.
This may include:
- De-identified derived features or processed representations of images, but only where they cannot reasonably be linked to you, your account, a person, a household, or a specific property
- Item categories or labels
- Detection outputs and system-generated metadata
We take steps to ensure that:
- Retained data is no longer linked to your identity or account.
- Personal identifiers are removed or anonymized.
- Data is used only for internal research, analysis, and improvement of our AI systems.
We do not treat a full image as anonymous merely because account identifiers have been removed. If an image or processed representation still contains reasonably identifying details, it remains personal data and is handled under the other provisions of this Privacy Policy rather than as anonymized data.
We do not:
- Sell this data
- Use it for advertising purposes
- Share it with third parties in a way that identifies you
Where required by applicable law, you may request deletion of your data, including data retained for service improvement, by contacting us at info@vaultlyai.com.
10. Children’s Privacy
The App, website enrollment, and Founding Membership are intended only for adults aged 18 or older.
We do not knowingly collect personal data from anyone under 18. If we learn that we collected personal information from a person under 18, we will take reasonable steps to delete it, subject to applicable law.

We may update this Privacy Policy from time to time.
If changes are material, we will notify users appropriately. Continued use of the App means you accept the updated policy.
